The tool uses employee IDs and reporting relationships to calculate active headcount, FTE, managers, direct reports, reporting layers, and team-size status. It summarizes results by department and functional area and creates review lists for records requiring validation.
How to import data
Required structure: Every employee needs a unique Employee ID. Every active employee except the top institutional leader should have a Manager ID that matches another record.
How to use it after importing
About team-size thresholds
The default thresholds are illustrative planning assumptions included to demonstrate the tool. They are not industry standards, benchmarks, or recommended targets.
Institutional leaders should review and approve the thresholds before using team-size flags in planning or decision-making. Changing a threshold may change which managers are flagged.
Interpretation rules
- Below-range and above-range managers receive the same follow-up priority.
- Small teams may be appropriate for specialized, regulated, high-risk, or geographically distributed work.
- Large teams may be appropriate when work is standardized or experienced employees require limited supervision.
- Resolve data-quality issues before interpreting organizational patterns.
- Compare results with workload, service expectations, vacancies, employee capabilities, and institutional priorities.

Required CSV headings

| Employee ID | A unique identifier for each employee or position. Do not use employee names. |
| Job Title | The employee's current job title. |
| Department | The department or operating unit. |
| Functional Area | A broader grouping such as Academic Affairs, Finance, or Student Affairs. |
| Campus | Campus or location. Optional for a single-location institution. |
| Manager ID | The Employee ID of the direct manager. Leave blank only for the top institutional leader. |
| Employment Status | Active, Inactive, Vacant, or Leave of Absence. |
| FTE | A numeric full-time-equivalent value, normally from 0 to 1.0. |
| Position Type | The role category used for thresholds, such as Executive, Dean, Director, Manager, or Individual Contributor. |

Use the visual to identify functional areas where validation work is concentrated. A higher count does not establish that a function is inefficient.
Layer distribution

What layers mean
Layer 0 is the top institutional leader. Layer 1 reports to Layer 0, Layer 2 reports to Layer 1, and so forth. Use the distribution to understand how many reporting levels exist and where employees are concentrated. A deeper or flatter structure is not automatically better.

These tables aggregate staffing measures and review records. Use them to identify where more detailed validation should occur, not as stand-alone recommendations.
